Job Summary

Responsible for directing and overseeing all aspects of the Department’s internal and external operations and administration and to promote the effective use of available resources and efficient management of the facilities and personnel assets of the department. Under the direction of the Chairman, this position will contribute to strategic planning for the department, particularly as it relates to strategic use of resources to advance priority department initiatives. Work to improve processes and policies, manage administrative staff, and lead long term organizational planning.


• Assist Department Chair and Division Chiefs on implementing strategic planning for the Department endeavors and priorities
• Oversee clinical, research, and education enterprise for the department
• Responsible for financial planning and budgeting, to include the preparation of the annual departmental budget and related materials. Supports division, program, and project staff in their preparation and presentation of budget, financial, and operating data as requested by faculty such as Division Chiefs, Program Directors, and Principal Investigators
• Ensure effective financial expenditure and other internal controls and approvals
• Provide oversight and management of the departmental inventory (equipment, etc.) control process
• Represent the Department in negotiations with University and non-University entities
• Lead, serve as a formal member or participate in the Department Executive Committees, University, Health Sciences, School of Medicine and Department committees, taskforces or other groups as assigned or otherwise appropriate
• Address other business reporting needs of the department administration for internal and external review purposes inclusive of the:
o Department Chairman
o School of Medicine Dean’s Office
o Mission-Based Management Advisory Committee (MBMAC)
o Senior Vice President for Health Sciences
o University President’s Office
o Accrediting agencies, review groups, external funding sources, professional organizations, etc.
• Draft or otherwise prepare departmental reports, internal policies, correspondence, internal and external contracts, memoranda of understanding, and/or other documents related to the functions and operations of the Department
• Oversee all human resources, faculty affairs and administration, and regulatory compliance in the department and provide faculty and staff with guidance on policies and procedures
• Research laws, policies, departmental precedents or other documents necessary for appropriate responses to current events or issues
• Promote synergy and cooperation between the various administrative components of the Department
• Oversee all aspects of staff management including recruitment and retention of assigned staff
• Oversee the analysis and determination of appropriate staff mix to support department needs
• Approve and provide liaison with School of medicine and University on staff hiring, compensation, and employment action
• Directly and indirectly supervise, train, and mentor FPM staff at Department, Division, program and project levels to enhance their capabilities to provide efficient and consistent processes and procedures throughout the department
• Ensure competency of unit management/supervisory staff through on-going staff performance evaluation
• Supervise and support FPM Administration administrative staff
• Supervise and support FPM Administration IT staff
• Market and promote new and existing programs and services to internal and external customers
• Facilitate cooperative and collaborative community and institutional relationships
• Assist Chair with development activities including donor cultivation, campaign management, and other reporting
• Provide oversight and management of the departmental inventory (equipment, etc.) control process
• Coordinate FPM facility, space and service needs, to facilitate changes, resolve problems, take advantage of opportunities and/or other issues
• Oversee and manage event planning for departmental events and initiatives
• Other duties as assigned

Minimum Qualifications

Bachelor’s degree in Business Administration, Health Care Administration, clinical field, or related area, or equivalency; nine years of progressively more responsible management experience; and demonstrated leadership, staff management, and effective communications skills required.

Completion of hospital provided supervisory training within one year of employment may also be required.

Masters degree in Business Administration, Health Care Administration, or related Area preferred.

This position has no responsibility for providing care to patients.
